Choose a shortlist with a clear purpose
An exhibition giveaway, reception desk and employee pack may have different needs. Compare the individual pen features and supplied material details, then select a small shortlist. Branded pens should be useful writing tools as well as carrying a logo. If ink colour, refillability or a stylus is essential, ask for confirmation rather than treating an absent detail as a standard feature.
Simplify the message
Small print can be difficult to read on a narrow barrel. Prioritise the logo and one useful detail instead of compressing an entire business card onto the pen. Request the artwork template or available area for the selected item. Different models can have different positions, so do not approve one proof as if it applies automatically to every pen in a mixed order.
Check colour and quantities
State the number required per pen colour and artwork version. Ask whether the listed minimum quantity applies to your proposed branded order and whether any additional production conditions apply. A dark logo may need a different treatment on a dark barrel. Confirm the final artwork colours and product colour in writing rather than relying on a screen image alone.
Confirm the final cost and arrival date
For bulk promotional pens, include the receiving address and the date the items are needed for packing or distribution. Check branding, VAT where applicable and delivery in the quotation. Keep the approved proof, product reference and quantity breakdown together. Repeat orders should still be checked for current availability and artwork consistency before production is authorised.
